Webinar funnel for coaches and course creators

A webinar is a room. For a coach or a course creator, the business is the enrollment call after it. Registration count feels like progress. Then closers sit on empty links, because the room was full of people who never intended to apply.

You need four rates. Only one of them belongs next to ad spend: the show rate on the sales call.

Count four numbers. Registrations, webinar attendance, applications from attendees, and sales-call show rate. Cost per shown enrollment call is registrations times ad cost, divided by the calls that actually happened. Hosting the webinar is a separate job from getting the buyer onto the closer's calendar.

Two show rates, two jobs

Webinar attendance and sales-call show rate measure different promises. A 40% webinar show rate can still produce a cheap enrollment call if the people who attend are the buyers. A 70% webinar show rate is expensive if the room will not apply.

Treat webinar attendance the way you treat a sales call. People show when they know how (date, link, what to have open) and why this hour beats everything else on the calendar. That is the same split in how to increase show rates. Reminder emails that only repeat the clock time fix the how. They do not fix the why.

The path from ad to enrollment call

  1. Registration asks something. Name and email fill a list. One or two questions on the offer, the timeline, or the revenue they want start a grade. The webinar funnel page is the product view of this step.
  2. The session has one next step. Apply. Say it when the mechanism is clear, and say it again at the end. A naked booking link gives every attendee a closer, including the people who came for the free training.
  3. The application decides who sees a calendar. Use the coaching and education application and a 1 to 4 grade. Grades that fit book in the page. Everyone else gets the replay, the course, or nurture.
  4. Confirm the sales call the same day. The webinar high wears off overnight. A personal confirm that mentions what they wrote on the application is what gets a Thursday attendee onto Friday's call.

What one paid webinar costs per shown call

This is arithmetic, not a case study. Change the inputs to your last webinar and the shape stays the same.

StepCountCost so far
$6,000 in ads, 1,000 registrations1,000$6 per registrant
40% attend the webinar400$15 per attendee
15% of attendees apply60$100 per application
Half of applicants are a fit and book30$200 per booked call
60% of booked calls show18$333 per shown call
Same bookings, 80% show24$250 per shown call

The last two rows are the same $6,000. Raising the sales-call show rate from 60% to 80% adds six live enrollment conversations. You did not buy another registrant to get them. If those calls close a coaching package or a cohort seat, that is the revenue the webinar was supposed to produce.

Put this number next to the ad line on the P&L. A webinar that "did 1,000 signups" and produced 18 shown calls is a $333 conversation, and it should be judged that way. The benchmark ranges for ad spend as a share of revenue are in the P&L breakdown.

Replay, no-shows, and the low-ticket front end

The replay is a second chance to apply. Send it with the application, and stop the sequence when they book. People who registered and never attended are a nurture list. They are not a reason to open the closer's calendar wider.

A $47 course or a free community can stay on the platform you already use to deliver it. The webinar's job is to move buyers into the call that sells the cohort, the certification, or the coaching tier. That call is the high-ticket booked call funnel: grade, in-page book, confirm, show.

Track show rate by source after the webinar too. A YouTube registrant and a Meta registrant should not share one attendance number and one sales-call show rate. Show rate by source is how you learn which creative filled the room with buyers.

Questions

Which show rate matters on a webinar funnel?

Webinar attendance and sales-call show rate measure different promises. The number that belongs next to ad spend is the show rate on the enrollment call.

How do you calculate cost per shown enrollment call?

Divide ad spend by the sales calls that actually happened. In the worked example, $6,000 in ads and a 60% sales-call show rate produced 18 shown calls, or $333 each. The same bookings at an 80% show rate cost $250 each.

Should every webinar attendee get a booking link?

No. The session should ask people to apply. A 1 to 4 grade decides who sees a calendar. Everyone else gets the replay, the course, or nurture.
